How to label Suitcases / Luggages and Instrument Cases

Be sure to put a SECOND copy of the label inside the suitcase/luggage or instrument case in case the label comes off during handling, automated sortation, and transit.

See below examples of how to label correctly.

Example 1:
Label placed inside a label holder provided by us and attached to the item's handle using at least two cable ties provided by us.

ONLY if you don't have time for delivery of label holders and cable ties, attach your label by wrapping transparent tape around the item repeatedly.

Information

You're ordering empty boxes from us which means you haven't finished packing yet and may not be sure how many boxes / suitcases / bags you're sending.

To make things easier, we've made this a 'two-step' booking and you only need to pay

at this time.

Once you're sure how many boxes you're sending, please login, confirm the number of boxes, and confirm your booking before 6pm the day before collection.

Any unused boxes should be recycled or given to a friend. Unused boxes cannot be returned.

CANCELLATION AND CHANGE COVER

CANCELLATION

Cancel your booking at any time until your items are collected and receive 100% refund of the amount paid towards storage, minus the cost of any free materials we have supplied for use on our service. If your labels are already generated when you cancel then this means a driver has already been assigned to your collection, and the cost of attempted collection will also be deducted from the refund.

Without cancellation and change cover, cancellation is only possible until your labels are generated, or 6pm the day before your collection, whichever is earlier, and there will be no refund. You will have the option to leave the booking open for future use for up to 12 months.

Payments made for additional services, including cover, postage of empty boxes, tape, and label holders, are non-refundable.

CHANGE

Make one change to your booking without an admin charge up until the time at which your labels are generated, or 6pm the day before your collection, whichever is earlier. Possible changes include:

  • Alterations to number of suitcases / bags/ boxes.
  • Alterations to collection date.
  • Alterations to the storage end date / return date.
  • Alterations to collection and return addresses.
  • Alterations to customs declarations and inventory.

No other alterations are possible. When a change results in an increase in storage and transport costs, these will have to be paid.

Additional changes after the first free change will incur an admin charge. Without cancellation and change cover, all changes will incur an admin charge.

All cancellations and changes must be made online. Cancellations and changes cannot be made via email or telephone. Labels are automatically generated one full day before collection, or in the case of bookings made less than one full day in advance, immediately.

Packing Declarations

I confirm I have not packed AEROSOLS or other PRESSURISED CONTAINERS. Examples include antipespirant, hairspray, spray paint, etc.
I confirm I have not packed any FLAMMABLE LIQUIDS/GASES. Examples include Aerosols, Correction Fluid, Nail Varnish, Perfume, Hairspray, mousse, cigarette lighters (empty or full), lighter fluid, matches, gas bottles etc.
I confirm I have not packed any TOILETRIES, LIQUIDS, PASTES, GELS, ETC. Examples include toothpaste, makeup, shampoo, washing up liquid, detergent etc.
I confirm I have not packed any food, drinks, cooking ingredients, or consumables. Examples include canned food, preserved food, dried food, rice, pasta, noodles, Tea, Herbs and Spices, chocolate, sweets, alcoholic beverages, non-alcoholic beverages, medicines in liquid form etc.
I confirm I have not packed any batteries inside my boxes. Examples include those found in calculators, laptops, smartphones, cameras, kindles, toys, powerbanks, loose batteries, packs of batteries etc.
I confirm I have not packed any other dangerous goods/hazardous materials (following IATA and ADR regulations).
[Only applies to moving services] The receiving country may impose additional prohibitions on items for security and customs reasons. I confirm I have checked and ensured my shipment complies with any such prohibitions.
I understand and accept that the following will apply if any of the categories of forbidden items listed above are found on my service, or if my items are found to be otherwise dangerously packed:
  • A removal fee of £10 per item on storage and domestic moving services.
  • A removal fee of £100 per item on international moving services.
  • Potential prosecution by national and international authorities.
  • Potential permanent confiscation of shipment.
  • Cancellation of insurance cover without refund.
Size and Weight: I confirm my Suitcases / Bags / Cases / Boxes do not exceed the agreed sizes and weights. I acknowledge that additional charges will apply if this is not the case.
Labeling Suitcases / Bags / Cases: I confirm that I have labeled any suitcases and bags using heavy duty label holders and cable ties provided by Student Storage Box, or, if I didn't have time to wait for label holders to be delivered, by taping labels to suitcases and bags by repeatedly wrapping transparent packing tape around the suitcase or bag so the label cannot come off during automated sorting and handling.
Labelling Boxes: I confirm that I will firmly attach all shipping labels to my boxes using transparent packing tape, taking care to completely cover the label and an area surrounding the label equal to 5cm to ensure the label cannot come off during automated sorting and handling.
Internal Labels: I confirm that I will pack a second copy of each label inside each Suitcase / Bag / Case / Box that I send. This is to aid in identification in the unlikely event that a label comes off during automated sortation and handling.
Packing: I confirm that I will pad all solid objects with at least 5cm (2 inches) thickness of soft padding material on all sides before putting them inside my Suitcase / Bag / Case / Boxes.
Insurance: I acknowledge that cover for loss from Student Storage Box is in addition to and does not replace insurance purchased externally to meet my requirements. Cover for loss does not include loss resulting from incorrect labeling, especially of suitcases, bags, and instruments in cases. Cover for loss does not include damage, delay, consequential loss, cancellation, and items which are prohibited or sent at my own risk. How to compare this quote

Like airlines, some storage companies like to cleverly hide charges from their customers until the last minute, so be careful when comparing quotes.

Hidden charges to watch out for:

  • Charges for empty boxes and packing tape - Most storage companies charge for their boxes and tape on top of storage. This typically adds around £40 to the overall cost. Here at Student Storage Box, heavy duty boxes are provided for free. Whenever possible, we also provide free packing tape.

  • Charges for collection - Some storage companies say their collection service is free, but when you go to book your collection you discover that collection is only free on certain days. On other days, including some weekdays, a basic 7am to 7pm collection service is charged at a premium of up to £30. With Student Storage Box the first collection attempt is always free.

  • Additional charges for return delivery - Some storage companies say their return delivery charge is £6.95 per box, but if you want your boxes returned to a new address after storage, this charge can more than double. With Student Storage Box the return delivery is always £5.00 per box within your state, even if you want your stuff returned to another city hundreds of miles away.

So when you compare this quote with others, make sure you include their extra charges for boxes and packing tape , collection, and return delivery if you're not returning your stuff to the same address after storage.
